Those who create and maintain course listings in WUCRSL today will begin using Workday to manage course information in September 2024.

This includes creating and editing courses and course sections, managing course offerings, setting course section dates (start/end dates, add/drop dates, exam dates), setting up reserved seating on course sections, associating related course sections together, like lectures with their corresponding labs or discussion groups, and more.

Key dates for course and section managers

Course and section managers play a key role in WashU’s transition to Workday by ensuring course data is accurate in Workday and course sections are set up for students to register in April 2025. Refer to this timeline and the sections below to understand what you need to do throughout the go-live year.

Before you begin, ensure you understand:

July 2024Register for a session of the Course and Section Manager instructor-led training.

Aug.-Nov. 2024Complete your self-led training path in Workday Learning, which includes several eLearnings.
 
Attend a session of the Course and Section Manager instructor-led training.
Sept. 3-23, 2024Do not create or edit active courses in WUCRSL from Sept. 3-23. In WUCRSL terms, this means do not edit the Curriculum and Semester files during this time. 

You may continue to create and edit course sections as normal by editing the Section file in WUCRSL.

Sept. 23, 2024 through end of Summer 2025In both Workday and WUCRSL:
– Create and edit active courses.
 
In WUCRSL:
– Create and edit course sections offered during Spring 2025 and Summer 2025.

In Workday:
– Create and edit course sections offered during Fall 2025 and any future academic periods.
– View courses and/or course sections for all academic periods – past, current or future.

Academic Year 2025-26Workday is the one and only system for course and course section management.

Pause course edits in WUCRSL

September 3-23, 2024

To help ensure course data is moved accurately into Workday, course managers should not create new courses or edit course detailsin WUCRSL from Sept. 3-23, 2024. In WUCRSL terms, this means you should not edit the Curriculum and Semester files during this time. This includes aesthetic changes, like changing a course name from Religion and Politics to Religion & Politics. If any courseedits are needed, course managers should complete them before Sept. 3 or hold them until after Sept. 23. 
 
You may continue to create and edit course sections (specific timed/dated course offerings) as normal by editing the Section file in WUCRSL during this time.  

Courses are key drivers of processes and other data points in Workday, including course sections. Edits to courses during the data conversion period will require manual rework of all related course sections in Workday, posing a risk to accurate data in the new system.

Maintain course and course section data

September 23, 2024 – end of Summer 2025

We are turning on Workday functionality on a rolling basis in 2024-25. This means that, beginning Sept. 23, when course data goes live in Workday, course/section managers will need to enter some data in both Workday and our legacy systems to keep them in sync.  

Courses

From Sept. 23, 2024, through the end of the Summer 2025 academic period, course managers will need to maintain all active courses in both WUCRSL and in Workday. This means that if you edit the Curriculum or Semester files in WUCRSL, be sure that you are entering the same data in Workday.  

Beginning Fall 2025, courses will be maintained in Workday only. 

Course sections 

Course section managers only need to maintain course sections in one system at a time. Which system depends on which academic period the course section is offered.

Beginning Sept. 23, 2024, when course section data goes live in Workday, through the end of the Summer 2025 academic term, course section managers will:  

  • Maintain course sections offered during Spring and Summer 2025 in WUCRSL. Course sections are found in the Section file in WUCRSL.  
  • Maintain course sections offered during Fall 2025 and beyond in Workday.  

Beginning Fall 2025, all course sections for all future academic periods will be maintained in Workday only. 

Once course data is live in Workday on Sept. 23, there are additional steps course and section managers will need to take to help validate course data and continue setting up courses and course sections in Workday. We will share details about these items here, including step-by-step process information and related training, closer to go-live.
