Ready, set, get involved!

Here’s a few ways to get ready for Workday Student. 

This fall, Washington University in St. Louis will begin using Workday Student, deploying throughout the 2024-25 academic year. As we approach the launch of the new system, the Sunrise team is shifting focus from configuring Workday to testing the system and preparing faculty, staff and students for the transition. Here’s a recap of what we’ve been up to, and how you can get involved. 

Sneak Peeks 

To learn about what is changing and preview parts of the new system, attend the Workday Student Sneak Peeks, a monthly webinar series for faculty and staff. Each webinar focuses on a different aspect of the new system and gives faculty and staff an opportunity to ask questions about how changes will impact their area of work. We’ll offer two live sessions for each topic and will post recordings and relevant Q&A following the second session.   

This series is designed for faculty and staff who teach, advise or support students in any capacity, Graduate students who will be teaching during the 2024-25 academic year should also participate. All instructors, registrars, advisors and departmental administrators are encouraged to attend, as well as are those who manage course and curriculum information, student financials or financial aid.

Workday Student Workshops 

In April 2024, Student Sunrise’s training team will host the first Workday Student Workshop to pilot training materials for the new system. Unlike Sneak Peeks, the list of Workshop attendees is small and focused, yet inclusive enough to ensure appropriate representation from various roles, levels, groups, and use cases across campus. This small group of participants, identified by the Sunrise Steering Committee, will preview and provide feedback on step-by-step training materials as they complete a series of scenarios in Workday. 

The Workday Student Workshops will help the project’s training team make modifications to training and other support resources before they are officially released. 

Mock Semester 

Sunrise will host Mock Semester in November 2024, which will serve as a dress rehearsal for registration in April 2025, when students will register in Workday for Fall 2025 classes. Mock Semester will give students, faculty and staff a “hands on keyboard” experience with Workday before using it in Spring 2025.   

Similar to the Workshops, Sunrise will collect feedback on training and support materials.. Whereas the Workshops are intended for a targeted group, we plan to open Mock Semester to all students, faculty and staff who wish to participate.  

Training 

Feeling comfortable navigating any new system takes time. To meet your needs, our training strategy focuses on providing support on your own schedule, accessible when you need it.  

Training materials will be released in waves, delivered just-in-time and in coordination with the functionality released in each of the four go-lives. We will release the first round of training this summer to those impacted by the first go-live, which will be those that will use Workday this fall to set up courses, academic requirements and more for registration spring 2025. 

Because we have a wide range of learning styles and preferences at WashU, resources will be available in many different formats, including both printable step-by-step tutorials, as well as narrated video walkthroughs. Faculty, staff, and students will access their training resources at Workday@WashU. Select student-specific resources will also be accessible directly in Workday.

Past Readiness Activities 

Workday Student Sneak Peeks, Workday Student Workshops, Mock Semester and training are a part of six strategic readiness activities designed to prepare WashU for the transition to Workday.
