Workday Student goes live Feb. 17!

WashU’s students, teaching faculty and academic staff will begin using Workday Feb. 17, when student records and other academic functionality become available in the system.

After this date, Workday will be WashU’s source of truth for student academic and personal information, and university admissions systems will begin sending admitted student records to Workday.

While this second go-live marks a major milestone in our transition to Workday, we will continue to work in two academic system environments through the end of the Summer 2025 academic period. This means our students, as well as some instructors and academic staff, will need to complete some tasks in our legacy systems (WebSTAC, WebFAC, SISAdmin, etc.) and other tasks in Workday during this period. This will be challenging, but there is a wealth of information available from the Go-Live Year section of the Student Sunrise website to help you navigate the next few months.

Go-live highlights for: Students | Advisors | Instructors | Others

Students

All students can access their academic and personal information in Workday Feb. 17 and will have tasks to review their information and get started in the system beginning Feb. 24. However, students will continue to complete some academic tasks in WebSTAC between now and the end of Summer 2025:

  • Students who are graduating in Spring or Summer 2025 may continue to use WebSTAC for most academic tasks, besides maintaining their personal information, which they must do in Workday.
  • Students who are continuing at WashU in Fall 2025 will begin using Workday for most academic tasks, besides managing their enrollments for Spring and Summer 2025, which they will continue to do in WebSTAC.
  • Students who register themselves will register in Workday for the first time in April 2025 for their Fall 2025 courses. They will work with their advisors in Workday to select courses and build their schedule.

Students can visit the Students webpage on the Sunrise website to find everything they need to know to navigate the transition, including key dates, which system to use for academic tasks, and information about what is changing for them. The Sunrise team will communicate regularly with students throughout the spring and summer and are providing resources to advisors and school leadership to support their students. If you work with students, you may reach out to your school’s Steering Committee member for access to resources and to see how you can support your students this spring. 

Advisors

Workday will become WashU’s official system for advising Feb. 17. Some legacy systems will remain online for backup during the transition; however, Workday is the primary place where advisors should look for student records and to make notes.

Access to Workday will reflect the holistic nature of advising and student support at WashU. In addition to faculty and academic advisors, there will be a variety of roles granted advisor access in Workday to support our students, including career advisors, dissertation/thesis advisors and others. This convergence of advising and student support roles in one system will provide a more centralized, consistent experience for students, and enable greater collaboration among those who support them.

Everyone with advising access in Workday should review the Advisors page on the Sunrise website to understand changes impacting advisors, as well as find available training and support resources. Instructor-led training sessions for advisors are offered through April, but we encourage you to attend early (or complete the equivalent eLearning) to be fully equipped to support your students as they prepare for registration in April.

To help you guide your students and answer their questions this spring, advisors are encouraged to review all information in the Students section of the Sunrise website and take advantage of email templates and flyers provided by the Sunrise team.

Instructors

Faculty and staff who teach will likewise begin the transition from WebFAC and Course Listings to Workday this spring. Instructors will see their Fall 2025 teaching schedule and rosters populate in Workday as course sections are published and students register in April. Beginning Fall 2025, instructors will enter final grades in Workday instead of EGrades.  

Note: Learning management systems that support instructional delivery (e.g. Canvas, Keystone) are not being replaced.  

Instructors should also be aware that pre- and co-requisites will be more strictly enforced for students in Workday. Pre/co-requisites, including completed courses, program of study (major, minor) and class standing, are programmed into Workday and checked automatically during registration. This means if a student is ineligible for a course section, they will be unable to register for it unless they submit an override (exception) request in Workday and receive approval. 

Instructors who will be teaching any Fall 2025 classes for Arts & Sciences, McKelvey or Sam Fox will be responsible for logging into Workday and approving, or denying, students’ override requests. By default, you will receive notifications in Workday and via email when you have a request awaiting approval.  

Students are being encouraged to submit any pre-requisite override requests as early as possible so they can plan accordingly for their registration appointments in April. School registrars, advisors or other administrators will review students’ pre-requisite override requests for all other schools.

Others

Many other campus offices who need to look up basic student information (e.g., Campus Mail, WUPD, athletic coaches) will do so in Workday beginning Feb. 17, when Workday becomes WashU’s system of record for student information. Admissions offices will begin to see and manage records for incoming students in Workday as they are admitted. Registrar offices will be migrating final data from our legacy systems and preparing for students’ first registration in Workday in April.
