Your syllabus for acing the transition to Workday
As we move to our new student system, it’s important to get familiar with when you’ll begin using Workday for which activities. Note the key dates, review the timeline, and get help from training and support resources.
If you’re graduating in Spring or Summer 2025, you can still complete most of your tasks in WebSTAC, but you can see your information in Workday, too. Here’s what you need to know»
Plan early and pay attention
Plan early for registration in Spring 2025
- If required, meet with your advisor. Course sections will begin getting published Feb. 18, but may not all be there for a few weeks, so you may want to wait a few weeks, e.g., March 2, to meet. before registration but after March 1. Please note, your advisors are learning the new system along with you, so allow extra time for registration planning.
- Make sure you understand eligibility requirements for the classes you want to take. Request overrides well in advance.
Pay attention
- Watch for emails from university leaders, your advisors and the Student Sunrise project, which will contain important details about what to do when.
- Download the Workday mobile app in February and turn on notifications. While not everything can be done in the app, you can:
- Get notified when a waitlisted seat becomes available and accept or decline your spot in a class within 72 hours.
- If you’re a student worker, it’s the same app that you use for time tracking and viewing your paycheck.
Get help
There are many ways to prepare for the transition to Workday and get help in the moment.
- Explore Workday@WashU, your home for Workday tutorials, videos and other support materials. Support materials for students will be available prior to Mock enRoll in November.
- Access help articles within Workday as you start using the system in Spring 2025.
- Submit a ticket with the Workday Student Support Team via servicedesk.washu.edu
Your advisor may also be a good point of support for you. But remember, your advisors, along with the rest of the university, are learning to use Workday, too. We all will need to work together and be patient with each other as we move through this transition.
Key Dates
Key dates for the 2024-25 academic year
Beginning February 2025, you will begin to complete many tasks related to registration, advising, financial management and more in Workday. However, this transition will happen in waves over several months.
Personal information
While you will be required to update personal information in Workday at the start of each semester, you can also update your information as needed.
- Update personal information and privacy settings in Workday after Feb. 17, 2025.
- Pay special attention to your email. This is how you’ll get notified that your spot in a course section is available from the waitlist.
Academic Information
- Update programs of study in Workday beginning Feb. 17, 2025.
- You will not be able to update majors or minors in WebSTAC after Feb. 6. 2025.
- If changing schools (i.e., Arts & Sciences to Olin) you’ll be prompted to complete the Change Program questionnaire. This replaces the inter-division transfer application in WebSTAC.
- You cannot apply for an inter-division transfer in WebSTAC after Dec. 19, 2024.
- View final grades in Workday after Feb. 17, 2025, in your academic history.
- View your unofficial transcript or refer to your academic record and progress in Workday after Feb. 17, 2025.
- View academic holds on the Fall 2025 semester in Workday after Feb. 17, 2025.
- You should address holds on the Spring or Summer 2025 semesters in WebSTAC.
- View and request new transfer credit in Workday after Feb. 17, 2025.
- If graduating in December 2025, complete the Apply for Program Completion task in Workday between June 23, 2025, and October 1, 2025.
- Request official transcripts in Workday after August 26, 2025.
Registration
- View registration appointments for the Fall 2025 semester in Workday after Feb. 17, 2025.
- Plan for Fall 2025 course sections in Workday. Course sections will start to be published on Feb. 18, 2025.
- Use WebSTAC and Course Listings to plan for Summer 2025.
- Register for Fall 2025 course sections in Workday in April 2025.
- Address any registration holds for Fall 2025 prior to April in Workday.
- Registration for Summer 2025 occurs in WebSTAC in March 2025.
- Continue to make edits to your Spring 2025 schedule (Add, Drop, Withdraw) in WebSTAC.
- If needed, you may request overrides for Fall 2025 course sections for which you do not meet the pre- or co-requisites in Workday after Feb. 18, 2025.
- Schedule finalization period occurs in Workday July 14-18, 2025. During this time, students will not be able to add, drop or swap courses from their Fall 2025 schedule.
Advising
- View your advising network and shared advising notes in Workday after Feb. 17, 2025.
Financials
- Manage financial transactions for Summer 2025 and prior academic periods in WebSTAC.
- Set up payment plans in Workday in May for Fall 2025 tuition payments.
- Enable friends and family third party access to allow others to make a payment or view a financial aid package on your behalf.
- Tuition and aid
- Set up payment plans in Workday in May for Fall 2025 tuition payments.
- School of Medicine students can see tuition and related aid in Workday after June 17, 2025.
- Danforth graduate and undergraduate students will see tuition and related aid in Workday after July 1, 2025.
- Federal work study earnings are posted in Workday Sept. 1, 2025.
- Account balances and refunds
- Student account balances are posted in Workday after Aug. 17, 2025, for Fall 2025 tuition. You and any friends and family you have added to your account can begin making Fall 2025 payments at this point.
- School of Medicine students will see student refunds in Workday after June 24, 2025.
- Danforth graduate and undergraduate students will see student refunds in Workday after Aug. 20, 2025.
Other
- Find links to edit meal plans or Bear Bucks balances on the Student Financials hub in Workday after Feb. 17, 2025.
- Review what systems are not changing with the transition to Workday.
