In preparation for the first Workday Student go-live on Sept. 23, school registrars are asked to ensure that the initial set of academic requirements for their programs of study, including key course data, are as up-to-date as possible to ensure a smooth student registration process. This summer is the last window for major changes, making the accuracy and completeness of this information paramount.
To facilitate the accurate transfer of course information into Workday, school registrars and course management staff are also requested to pause adding new courses or editing existing courses in WUCRSL, our current student information system, between Sept. 3 and 23.
Key terms
In Workday, a course section is the specific instance of a course for which a student registers during a given academic period. It has a meeting pattern, instructional format, instructor, etc. Course sections are “children” of courses, which contain core information like course title, course number, description, and pre- or co-requisites.
During this period, the project team will complete the final conversion of course data. Edits and course additions should be completed prior to Sept. 3 so they can be ported over to Workday. Any changes after Sept. 23 should be made directly in Workday.
Limiting changes to courses during this data conversion period will help prevent manual rework for the schools and reduce the likelihood of inaccurate data in Workday.
Additional data to be collected and validated
In addition to course data, the Student Sunrise team is collecting additional advising data and working with schools and units to complete a third and final round of security validation. Security roles determine what someone can see and do in Workday and guide the development of training and support materials.
“We are completing our final round of security validation with representatives from all schools and units to ensure that the system is both secure and user-friendly, determining what each user can see and do in Workday,” said Beth Lee, functional project director. “This is important for ensuring that members of their schools and units have access to the appropriate data, tasks, and processes in Workday.”
