When Workday Student goes live, there will be several ways you can access academic and student data. Many of those will be within Workday, but some will be outside of Workday.
As always, your security permissions will determine exactly what reports you can run and what data you can view. A limited number of users will also have access to create new reports.
System Screens
A lot of data is available simply through navigating screens in Workday, for example, a student’s academic level or unit or a specific course’s location and meeting times.
Anyone with Workday access and the proper security may view these system screens.
Custom Reports
WashU can create customized views of data specific to our university and needs. These are built by adding and subtracting data fields on delivered reports or creating brand new reports.
Anyone with Workday access and the proper security may run custom reports. Limited users may create custom reports.
Dashboards
Data and actionable items can be consolidated in a single location, which acts as a portal into different areas of Workday for users. Dashboards can also display a quick view of data that provides instant insight without having to open a report. Students will have access to dashboards called Hubs.
Anyone with Workday access and the proper security may run a dashboard. The Workday Support Team may create dashboards.
Delivered Reports
Workday has standard reports that offer a generalized view of the included data. Find Students is an example of a simple report that returns a list of students and their demographic information.
Anyone with Workday access and the proper security may view delivered reports.
Worksheets
After running a report in Workday, users may export to Workday Worksheets to enable ad-hoc data exploration, analysis, and collaboration with other Workday users.
Worksheets are similar to Excel files or Google sheets but allow you to refresh live data.
Anyone with Workday access and the proper security may run and create Worksheets.
Data Warehouse
WashU’s data warehouse stores curated sets of data from multiple systems, including Workday. The data warehouse will expand our ability to analyze academic and student data together with data from other university systems.
This chart can help users understand when to expect student data to be available in which system – Workday, the data warehouse and the SIS Reporting Database – as well as the difference in capabilities between each system.
