Workday Student will store much of the data we need to perform tasks that support student and academic operations, and offer multiple ways to view and access that data, including reports that come built with the system.
What’s changing?
Workday will make it easier to see the information you need to support day-to-day student and academic operations, as well as strategic decision-making.
- Streamlined reporting: In Workday, one report may replace multiple current reports that are either duplicative or very similar. This means that one report can be used across different roles and schools.
- Enhanced student support: With data consolidated and organized in one system, we’ll not only be able to see the information but to act on it in real time. For example, advisors will be able to view students’ academic standing to quickly see which students need extra attention.
- Better planning: We’ll also be able to compare historical data to predict trends and plan for the future. For example, we’ll be able to easily see what class sections are usually full and which only have a few students, so we can adjust our offerings in the future to fit more students’ needs.
Viewing reports
In Workday, reports display a collection of related data together in a readable format on a screen or landing page within the system. A report can be as simple as a list of a student’s grades or as complicated as the meeting times and locations for every class in a certain school this semester. Many reports in Workday are formatted as a table with rows and columns.
Report features
- Filtering: Reports can be filtered to cast as narrow or wide a net as you’d like. In some reports, you can also filter the data that was returned in each column, rearrange or remove columns of data.
- Drilling for details: You can use “drillable” fields (any text in blue that’s hyperlinked) to view related information in more detail. In the sample report above, you can drill into the academic period, the charge item, the student’s information, or the currency. Blue hyperlinked text also leads you to actions you may make.
- Exporting: Once you run a report, you can export the results as an Excel spreadsheet, export as a PDF (and then print if needed) or export to Workday Worksheets. Find out more about Workday Worksheets on the Workday@WashU website.
- Live data: Reports show live data. Data on the report will change when changes are made in Workday. If you export, the data will NOT update. If you export to Worksheets, you will have an option to refresh live data.
Finding reports
WashU has developed a Student Report Catalog that provides a “menu” of reports and is a single place to see reports related to academic data. This menu not only provides the names and descriptions of reports but shows you if you personally have access to it. You can also run reports directly from the catalog.
Depending on your role, you may also use a dashboard to access tasks, reports or external links that you’ll use frequently. We’ll share more about dashboards in our readiness activities, including Workday Student Sneak Peeks and training. Students will also have access to dashboards called Hubs in their view.
Accessing reports
When securing data in Workday, WashU’s goal is to provide faculty and staff with the flexibility to support as many students as possible, while acknowledging that student information is only to be seen and modified by people who are authorized to do so. We are configuring security in Workday to provide faculty and staff with the appropriate level of access to data, including reports, based on their university roles and responsibilities.
Your security access in Workday determines what you can see, both what reports and what information ON the reports. That means two employees may see different things when they run the same report. For example, an administrative assistant may be able to see how many students are registered for an art class, but a registrar may be able to see those students’ personal data, as well. Depending on your security, you may have access to additional reporting features to manipulate and view data.
